Salary: £10.05/hour

Hours: Flexible (15 – 18 hours)

Reports to: Office Manager

Based:  Friarage Hospital, Northallerton

Job Purpose

The Friends of the Friarage is at an exciting time in its history as we get out into the community again.  Friends of the Friarage, through its amazing supporters, fundraise for those services and pieces of equipment over and above those provided by the NHS.

The role of the Administrative Assistant will be to support the functions of the Charity, assisting the Office Manager and Fundraising & Events Officer with general administration.

Job Description

  • Provide administrative support, advice and guidance to trustees, hospital staff, and the public, acting as the first point of contact or referring where appropriate
  • Perform administrative tasks including recording data, taking and making telephone calls, checking and confirming information, typing letters of acknowledgement
  • Positively market the Friends of the Friarage and all associated events by supporting the preparation of fundraising materials, newsletter updates and social media stories under the direction of the Office Manager
  • Ensure policies and procedures relating to Data Protection are met including the management of donor data and photographic consent
  • Perform data input whether relating to finance, staffing information or donor activity
  • To undertake basic financial management processes including raising invoices, handling cash, processing orders and resolving issues including bills
  • To assist in the preparation and organisation of meetings and events including booking venues, issuing invitations and papers and taking minutes
  • Coordinate office stationery, equipment and supplies maintaining records as appropriate
  • Occasionally attend events to represent the Charity and support with setting up/hosting
  • Undertake all mandatory training and follow all South Tees Hospitals Foundation Trust’s Health & Safety procedures as required
  • Undertake any other duties as may reasonably be required commensurate with the salary of the role

Person Specification

Essential

  • Strong communication skills including good written English and numeracy skills to Level 2 or equivalent
  • Broad knowledge of data protection and data confidentiality
  • Basic understanding of the use of social media

Occupational Skills

  • Strong organisational skills
  • Friendly and approachable with an aptitude for helping other people
  • Able to contribute to the delivery of social media campaigns
  • Ability to store and retrieve information
  • Agile working with an ability to switch between tasks
  • Ability to work as a member of a small team
  • Ability to work occasional evenings and weekends to support events and activities hosted by the Friends of the Friarage (notice will be given)
